Product Fields

The table below lists the fields of the Product form and provides utilization guidelines for each field.

Picture

The Picture field is used to add a picture or logo of the product.

Click on the picture to enlarge it or to change it.

Name

The Name field is used to enter the name of the product. Fill out the Brand, Model and Category fields to automatically generate a name based on the values entered in these fields.

The following is recommended for organizations that do not already have a product naming convention.

For hardware, use the following syntax to construct the name:

[Brand] [Model] [Optional Information] [Category]

Examples:

  • Dell Latitude D620 Laptop PC
  • IBM System p5 590 Server
  • HP LaserJet 2500n Color Printer
  • Canon CanoScan LiDE90 Flatbed Scanner

For software, use the following syntax to construct the name:

[Brand] [Software Name]

  • Microsoft Windows 7 Professional
  • Microsoft Office Small Business Edition 2003
  • Adobe Reader
Disabled

The Disabled box is checked when the product may no longer be used to register new configuration items.

Brand

The Brand field is used to select a previously entered brand name or to enter a new one. The brand name is typically the name of the product’s manufacturer.

Model

The Model field is used to enter the model of the product.

This field is not available if the rule set of the product’s category is:

  • Logical Asset with Financial Data
  • Logical Asset without Financial Data
  • Software
  • Software Distribution Package
Product ID

The Product ID field is used to enter the unique identifier that has been given to the product by its manufacturer. Manufacturers refer to this identifier by different names, such as:

  • Product number
  • Model number
  • Part number
  • Service tag
  • EAN (European Article Number)
  • UPC (Universal Product Code)

This field is not available if the rule set of the product’s category is:

  • Logical Asset with Financial Data
  • Logical Asset without Financial Data
  • Software
  • Software Distribution Package

A Product ID must be unique in 4me for each brand. In other words, the concatenation of Brand and Product ID must be unique within a 4me account.

Category

The Category field is used to select the appropriate product category for the product.

Another product category can be selected only if it has the same rule set as the previously selected product category.

UI extension

The UI extension field is used to select the UI extension that is to be added to a CI when it is related to the product.

Service

The Service field is used to select the service which service instances would typically include the product.

Support team

The Support team field is used to select the team responsible for maintaining the product’s information in the configuration management database (CMDB).

Remarks

The Remarks field is used to enter any additional information about the product that might prove useful.

This field allows basic text formatting.

Financial Details
Supplier

The Supplier field is used to select the organization from which the product is typically obtained. If the product was developed internally, select the internal organization that is directly linked to the account to which the product belongs. Note that a lease company should be selected in this field if the product is normally leased.

If one of the “Software” categories is selected, use this field to select the organization from which the license certificates for the software product are typically obtained.

Financial owner

The Financial owner field is used to select the internal organization which budget is normally used to obtain the product.

If one of the “Software” categories is selected, use this field to select the organization which budget is normally used to obtain the license certificates for the software product.

Depreciation method

The Depreciation method field is used to specify whether or not configuration items that are based on the product are typically depreciated and if so, which depreciation method is normally applied.

If one of the “Software” categories is selected, use this field to specify the depreciation method that is normally applied to license certificates for the software product.

Useful life (years)

The Useful life field is used to enter the number of years within which configuration items that are based on the product are typically depreciated.

If one of the “Software” categories is selected, use this field to specify the typical useful life of the license certificates for the software product.

Rate (%)

The Rate field is used to specify the yearly rate that should normally be applied to calculate the depreciation of configuration items that are based on the product using the reducing balance (or diminishing value) method.

Recurrence
Workflow template

The Workflow template field is used to select the workflow template from which a workflow is to be generated for scheduled maintenance tasks.

Repeats

The Repeats field is used to select the frequency with which a workflow is to be generated.

Disabled

The Disabled box of the Recurrence section is checked to temporarily stop workflows from getting generated based on the recurrence schedule.

Every

The Every field is used to specify whether any days, weeks, months or years (depending on the option selected in the Repeats field) should be skipped following the automated generation of a workflow before generating the next workflow.

For example, if the Repeats field is set to “Daily” and the Every field is set to 1, then a workflow will be generated every day. If the Every field is set to 2 instead, then a workflow will be generated every other day.

On

The On field is used to select the days of the week on which a workflow should be generated.

Each

The Each field is used to select the days of the month on which a workflow should be generated.

In

The In field is used to select the months in which a workflow should be generated. If the On the field is not selected, then a workflow will be generated in the selected month(s) on the day of the month specified in the Start date field.

On the

The On the field is used to specify on which day of the month a workflow should be generated.

Weekday

The Weekday field is used to select the weekday on which a workflow should be generated.

At

The At field is used to specify the time at which a workflow should be generated.

Time zone

The Time zone field is used to specify the time zone that is applied to the At, Start date and End date fields.

Calendar

The Calendar field is used to specify the calendar that should be used to determine which occurrences should be skipped because they are planned outside calendar hours.

Workflow manager

The Workflow manager field is used to select the workflow manager who should be selected in the Manager field of the new workflows that will be generated in accordance with the recurrence schedule.

Configuration Items
Configuration items

The Configuration items table field lists all the configuration items that were created based on the product.

If one of the “Software” categories is selected, the configuration items listed can be software versions as well as software license certificates that have been registered for the software product.
